Welcome to the Cross Mapping feature!

This powerful functionality enables end-users to map questions across different regulatory standards or libraries, ensuring seamless alignment and consistency. By doing so, it simplifies compliance, reduces redundancy in assessments, and enhances overall efficiency.

In this guide, you'll explore the full range of capabilities of the Cross Mapping feature, with step-by-step instructions.

  1. Introduction to Cross Mapping

Cross Mapping is for creating relationships between questions in a Base Library and those in other libraries (Mapped Libraries). It facilitates a unified mapping structure across various standards, which provides several benefits:

  • By connecting questions across different standards, you can create assessments that address requirements from multiple frameworks simultaneously, reducing redundancy and improving efficiency.
  • Cross mapping helps you identify areas where standards overlap or diverge. This clarity allows organizations to pinpoint missing requirements or unnecessary redundancies in their compliance efforts.
  • By leveraging consistent data and mapping relationships, organizations can efficiently manage compliance initiatives, track progress across multiple standards, and ensure comprehensive coverage.
  • The assessment linked directly to the Base Library is treated as the parent.
  • Assessments linked to Mapped Libraries are treated as children.
  • One-Way Updates: Updates flow one way—from the parent assessment to the child assessments. Changes made to a child assessment do not affect the parent assessment or other child assessments.
  1. Accessing to Cross Mapping menu

  1. Key Concepts in Cross Mapping
  • Base Library

The Base Library is the central reference point in the mapping process. It acts as the "parent" or "source" library, containing the core set of questions you aim to connect with other libraries (Mapped Libraries). This foundational library is critical because:

      • Starting Point: It establishes the primary structure and content for mapping, serving as the baseline against which other libraries are compared or aligned.
      • Consistency: By using the Base Library as the reference, you ensure that mappings across different standards or frameworks remain consistent.
      • Efficient Navigation: With a defined Base Library, identifying relationships, overlaps, or gaps with other libraries becomes more straightforward.
  • Mapped Libraries

Mapped Libraries are the target libraries in the mapping process, serving as the destinations for relationships established with the Base Library. These libraries play a key role in extending the reach and applicability of your mapping efforts. Key characteristics include:

    • Target Libraries: They are the frameworks, standards, or question sets that you connect to the Base Library, receiving the relationships created during the process.
    • Alignment Focus: Mapped Libraries help align the Base Library's questions with external frameworks, enabling cross-framework consistency.
    • Gap Identification: By comparing the Mapped Libraries with the Base Library, you can identify areas of overlap, divergence, or missing content.
    • Enhanced Utility: These mappings make it easier to address requirements from multiple standards simultaneously, streamlining compliance and assessment efforts.
  • Response Type Consistency

When mapping questions between the Base Library and Mapped Libraries, maintaining response type consistency is crucial to ensure clarity, usability, and data integrity. Key points to consider include:

  • Consistency in Response Types: A question in the Base Library must match the response type of its corresponding question in the Mapped Library. Example: A Yes/No question in the Base Library can only be mapped to a Yes/No question in the Mapped Library.
  • System Validation: The system enforces this rule by preventing mappings with incompatible response types. This safeguard minimizes confusion and eliminates the risk of misaligned data.
  • Error Prevention: Mapping questions with mismatched response types (e.g., Yes/No to Multiple Choice) triggers an error, ensuring the mapping process adheres to best practices and preserves data integrity.
  • Key Rule: Always verify that the questions' response formats are compatible before mapping to ensure the resulting relationships are functional and meaningful.
  1. How to Use the Cross Mapping Feature
  • Accessing the Cross Mapping Screen

  • This side-by-side view enables you to easily compare and align questions between the two libraries.
  • From a secondary dropdown or list, select the target Mapped Library.
  • The system will display the questions from the selected Mapped Library alongside the Base Library questions.

Step 3: Mapping Questions

  • For each question in the Base Library, review the questions in the Mapped Library to find a matching or related question.
  • Create Mappings: Use the system's drag-and-drop functionality or designated action buttons to connect the Base Library question with the corresponding question in the Mapped Library.
  • This intuitive interface ensures that relationships are created efficiently and accurately.
  • For each question in the Base Library, identify corresponding questions in the Mapped Library.
  • Use the drag-and-drop functionality or action buttons to create mappings between the two libraries.

Step 4: Save Mappings

  • After creating the desired mappings between the Base Library and the Mapped Library, click the Save button to store these relationships in the system.

  • The Cross Mapping table will now display these mappings for future reference.
  1. Modifying Mappings

From Cross mapping screen

  • Add New Mappings:
    • Create additional mappings by selecting questions from the Base Library and linking them to questions in the Mapped Library.
  • Edit Existing Mappings:
    • Update or modify mappings by revising the linked questions to ensure alignment with changes in frameworks or standards.
  • Delete Unnecessary Mappings:
    • Remove mappings that are no longer relevant or required.

Excel-Based Bulk Updates

  • For large-scale operations:
    • Download the current mappings as an Excel template.
    • This template will include existing mappings in an organized format for easy editing.
  • Update the Excel File:
    • Open the exported Excel file to make bulk updates:
    • Add new rows to include additional mappings.

  • Re-upload the Updated File:
    • After making changes, save the Excel file and use the system's import functionality to re-upload it.
    • The system will apply the updates, ensuring bulk changes are reflected in the Cross Mapping table.
  1. Advanced Assessment Linking

When Linking Assessments to Libraries

  • Cross-Mapping Check: Once mappings are created, the system will automatically verify whether questions in an assessment are cross-mapped to other libraries.
  • Pop-Up Notification: If cross-mapped questions are detected, the system will display a pop-up window that provides critical information:
      • Affected Assessments: A list of assessments that include the cross-mapped questions.
      • Mapped Libraries: Details of the libraries involved in the cross-mapping relationships.

Actions in the Pop-Up

  • View the List of Affected Assessments: Review all assessments that include the cross-mapped questions. This helps you understand the scope of the impact and plan accordingly.
  • Link New Assessment to Mapped Questions: Choose whether to link the newly created or updated assessment to these mapped questions. This decision ensures consistency while allowing flexibility in whether the new assessment inherits existing cross mappings.
  1. Same Library Mapping

When the same library is mapped to a new assessment, the system treats the new assessment as a clone of the original. This means:

  • The new assessment is a standalone copy of the original assessment, containing the same questions and responses.
  • Changes made to the parent assessment (original) do not affect the cloned assessment.
  • Similarly, updates to the cloned assessment will not impact the original assessment, ensuring that the new assessment remains independent.
  1. Different Library Mapping

When mapping questions from a library to a different library's assessment, the system ensures seamless synchronization through automatic updates.

Automatic Synchronization: Any changes made to the Base Library—such as updates to responses, comments, tasks, or attachments—are automatically reflected in all linked assessments.

Unified Consistency: This ensures that all linked assessments remain aligned with the latest information from the Base Library, reducing the risk of discrepancies or outdated data.

. Understanding Parent-Child Relationships in Mappings

The system’s Parent-Child Relationship Model ensures structured and efficient management of assessment updates. Here’s how it operates:

Parent Assessment

  • The assessment linked directly to the Base Library is treated as the parent.
  • Automatic Propagation: Changes made to the parent (e.g., updates to responses, addition of tasks, comments, or attachments) automatically propagate to all linked child assessments.
  • The parent assessment serves as the single source of truth, ensuring consistency across all related assessments.

Child Assessments

  • Definition: Assessments linked to Mapped Libraries are treated as children.
  • One-Way Updates: Updates flow one way—from the parent assessment to the child assessments. Changes made to a child assessment do not affect the parent assessment or other child assessments.
  • Independent Customization:
    • While receiving updates from the parent, child assessments can still be tailored locally without influencing the parent or other children.
  1. Cross Mapping linking
  • Question Mapping:
    • Questions can be mapped from the Base Library to Mapped Libraries, creating relationships between them.
    • Mapped questions must have matching response types to ensure data integrity.
  • Adding or Modifying Mappings
    • Select the Base Library and Mapped Library.
    • Identify corresponding questions.
    • Create or adjust mappings using drag-and-drop functionality or action buttons.
    • For large-scale changes, you can perform bulk operations:
      • Export: Download existing mappings into an Excel template.
      • Update: Add new rows for additional mappings, modify existing ones, or delete rows as needed.
      • Import: Re-upload the updated Excel file to apply the changes across the system.
  • Assessment Linking:

Libraries can be linked to assessments with two behaviours:

      • When the Same Library is Linked to a New Assessment:
      • The system creates a clone of the original assessment.
      • The new assessment is a standalone copy with the same questions and responses as the original.
      • Changes made to the original assessment do not affect the cloned assessment, and vice versa.
      • This is useful for creating independent assessments based on the same library.
  • One-Way Updates (Parent-Child Relationship):

When working with linked assessments in a Parent-Child Relationship Model, the system ensures synchronization by automatically propagating changes made in the parent assessment:

  • One-Way Synchronization:
    • Updates made to the parent assessment—such as changes to responses, tasks, comments, or attachments—are automatically applied to all linked child assessments.
  • Consistency Across Assessments:
    • This propagation ensures that all child assessments remain aligned with the latest data from the parent assessment, maintaining uniformity across linked assessments.
  • Independent Customization:
    • While updates flow from the parent to the children, child assessments remain independent for local adjustments that do not affect the parent or other children.
  1. Reporting and Dashboard Features
  • Cross Mapping Dashboard

The dashboard includes a dedicated tab to display the Cross Mapping and Assessment Summary. This tab provides a comprehensive view of data derived from cross-mapped sources and their interactions, enabling easier comparison and analysis of assessments and their associated libraries.

  • Assessment Selection Dropdown

A dropdown menu lists all available assessments based on the user’s data. Users can select an assessment to view detailed information, including the cross-mapped libraries associated with it. This ensures that users can drill down into specific assessments and understand their mapping relationships.

  • Chart Representation

Upon selecting an assessment, a dynamic chart is generated to visualize data from the assessment and its cross-mapped libraries. The chart categorizes data as follows:

      • Compliance: Results that meet the required standards.
      • Non-Compliance: Areas that fail to meet the standards.
      • Others: Data that does not fit into compliance or non-compliance categories, such as items in progress or with uncertain outcomes.

The chart automatically updates to reflect the selected assessment and the mapped libraries, providing an intuitive visual representation of the data.

  • New mappings will also be restricted unless the Mapped Library's question is updated to align with the Base Library.
  • If response options in the Mapped Library are changed independently, it breaks the link with the Base Library question, disallowing further cross-mapping.
  • Some systems enforce bidirectional consistency, meaning both Base and Mapped Library questions must align perfectly for mapping to be allowed.
